A total receivables figure tells you how much you are owed. An aging profile tells you how worried to be about it. Two businesses owed the same amount are in completely different positions if one has it all in the current bucket and the other has half of it beyond ninety days.

The formula

Each invoice is placed in a bucket by its days past due:
Current (not yet due), 1–30, 31–60, 61–90, 90+
Bucket total = sum of invoice amounts in that bucket
Bucket share = bucket total ÷ total receivables × 100

Age from the due date, not the invoice date. Aging from the invoice date mixes your payment terms into the profile and makes customers on long terms look delinquent when they are paying exactly as agreed.

Reading the shape, not just the total

A healthy aging profile is heavily weighted toward the current bucket, with a thin tail. What matters is the direction of travel: if the 31–60 bucket is growing month on month while the current bucket stays flat, invoices are not being collected on schedule and the problem will arrive in the older buckets shortly. Aging is most useful compared with itself over several months, because a single snapshot cannot distinguish a temporary blip from a trend.

Older balances are worth less

The probability of collecting a receivable in full falls as it ages, and it falls faster than most businesses expect. Invoices in the 1–30 bucket are usually administrative — a lost email, a missing purchase order number, a missed payment run — and a reminder resolves them. By 61–90 days the reason is more often a dispute or genuine inability to pay, and beyond 90 days recovery in full becomes materially less likely. That curve is why aging drives collection priority: effort spent on the 1–30 bucket prevents the 90+ bucket from existing.

Use it to decide, not just to report

The practical value of an aging report is in what it changes. Concentrations point at customers who should be on tighter terms or on stop; a large 90+ bucket points at whether to escalate, negotiate a payment plan, or write off and stop spending time on it; and a consistently heavy 1–30 bucket usually points at your own invoicing rather than at customers. If the report is produced and filed without a decision attached, it is not doing any work.
