What is a freelancer invoice?

A freelance invoice is a bill a self-employed person sends a client for completed work, showing the hours or deliverables, the agreed rate, and the total due by a stated date.

Freelancers usually bill several unrelated clients from one business, which makes two things matter more than they do for a company with an accounts department: a numbering scheme that stays unique across every client, and terms stated on the invoice rather than assumed from a conversation. This template handles both, and the totals calculate as you type.

How freelancers usually bill

Hourly
One line per task or per week, with quantity as hours and rate as your hourly rate. Group by project rather than by day if the invoice runs long — a client who sees forty single-hour lines tends to audit them.
Day rate
Quantity is days, rate is your day rate. State what a day means in your notes (for example, up to eight working hours) so half-days and overruns do not become a negotiation after the fact.
Fixed project fee
One line for the agreed deliverable, quantity 1. If the project is paid in stages, invoice each stage separately and name the stage in the line item so the client can match it to the contract.
Deposit and balance
Invoice the deposit before you start, then invoice the balance on delivery with the deposit entered in the Amount Paid field, so the balance due is unambiguous.

What to put on a freelancer invoice

Beyond the fields every invoice needs, these are the ones that decide whether this kind of invoice gets approved quickly:

Your legal or trading name
Use the name your client will pay — a sole trader's own name, or the trading name if you have one. A mismatch between the invoice and the bank account is a common reason a payment gets held.
A unique invoice number
Numbers must be unique across your whole business, not per client. A simple sequence (2026-001, 2026-002) or a client prefix (ACME-001) both work — pick one and never reuse a number.
Tax or registration reference
Add your tax registration number if you have one — a VAT number, ABN, GST number or equivalent. Put it in your business details block so it appears on every invoice.
Payment terms and due date
"Net 14" means nothing to a client who has never seen it. Write the actual due date as well as the term.
Payment details
Bank details or a payment link, in the notes or terms field. An invoice a client cannot act on immediately gets set aside.

The licence is billed at cost and labelled as a pass-through, which keeps day-rate work and reimbursed expense visibly separate. A deposit would go in the Amount Paid field so the invoice shows the remaining balance rather than the gross total.

How to number freelance invoices across several clients

Use one continuous sequence for your whole business rather than restarting at 001 for each client. Duplicate numbers across clients cause real problems: your own records stop reconciling, and if two clients ever end up in the same accounts payable system — which happens more often than you would expect with agencies and holding companies — one invoice gets rejected as a duplicate. A year prefix (2026-001) makes filing easier and quietly signals which invoices belong to which tax year.

Setting terms that actually get you paid

Shorter terms get paid sooner, but only if the due date is explicit. Net 14 with a written date outperforms Net 30 with no date. State a late fee only if you intend to apply it and it is enforceable where you are — an unenforced late fee on every invoice teaches clients the deadline is decorative. If a client pays through an accounts payable portal, ask which day of the month payment runs happen and date your invoices to land just before it.

Charging tax as a freelancer

Whether you add tax depends on where you are registered and where your client is, not on how you bill. If you are registered for VAT, GST or sales tax, add it in the tax field, label it accordingly, and include your registration number. If you are below the registration threshold, do not add a tax line — charging tax you are not registered to collect creates a liability. Rules for cross-border services differ from domestic ones, so confirm your situation with a local accountant or tax authority before invoicing overseas clients.
